Hosting data on SharePoint Online (SPO) is ideal for team collaboration and daily operations. However, over time, you may need to archive this data while maintaining regular access via an SMB share. AWS FSx for Windows File Server (FSx WFS) offers a cloud-based managed service for SMB share hosting, seamlessly integrating with your Active Directory environment for user and group management.
Our solution enables the migration of entire SPO site folders and files to AWS FSx WFS, preserving the complete folder structure. Using an agent-based copy process facilitated by an EC2 instance in your AWS account, we ensure efficient and reliable data transfer.
The process leverages AWS services like SQS and DynamoDB to parallelize migration and maintain file-level state persistence, allowing automatic resumption after interruptions. Follow-up migrations are streamlined by syncing only files with updated metadata, ensuring frequent synchronization with minimal bandwidth requirements.
Migrations process overview:
- Configure required SMB shares on target FSx WFS instance
- Setting access permissions on SMB shares (SMB / NTFS)
- Initial copy of data from SPO to FSx WFS SMB shares
- Follow-up / Final synchronizations
- Removing / disabling data access in SPO to mitigate changes of data in old location
- File level synchronization verification based on hash sum and timestamps
Limitations:
- While migration to any Windows Fileserver (including on-premises) is possible, bandwidth limitations may arise, if the migration agent is hosted on a different network than the target server.
Use cases:
- Archive data in AWS FSx WFS for reduced cost but retain regular access via an SMB share with e.g. Microsoft Office tools
- Move latest data from SPO back to AWS FSx WFS after accidentally synchronization and extensive modification in SPO
- Migration from multi- to single-cloud setup
